  • billing and delivery addresses;
  • order, purchase and account history;
  • payment-related information;
  • correspondence; and
  • information relating to enquiries, compliments or complaints.

We use this information to process and deliver orders, provide samples, communicate with you about your order and provide customer support.

Our lawful basis is CONTRACT, because the processing is necessary to enter into or perform our contract with you. We may also rely on LEGAL OBLIGATION where we must retain transaction or tax records.

Customer and trade accounts and guarantees

We may collect:

  • your name and contact details;
  • your address;
  • account and registration details; and
  • your purchase history.

We use this information to create and manage accounts, administer guarantees and maintain records of our relationship with you.

Our lawful basis is CONTRACT where this is necessary to provide the account or guarantee. We may also rely on LEGITIMATE INTERESTS to administer our customer relationships and LEGAL OBLIGATION where records must be retained by law.

Service communications and marketing

We may use your name, contact details, marketing preferences and relevant purchase history to:

  • send important service or order updates;
  • respond to communications you have requested; and
  • send news, product information or other marketing where permitted.

Service communications are generally sent on the basis of CONTRACT or our LEGITIMATE INTERESTS in managing our relationship with you.

For email or similar electronic marketing, we rely on CONSENT where consent is required. In circumstances where the law permits marketing without consent, such as where the “soft opt-in” applies, we may rely on our LEGITIMATE INTERESTS in promoting our products and services. You can unsubscribe at any time by using the link in a marketing email or by contacting us.

Google Analytics and Meta Pixel may infer general location information, such as city, region, or country, from a visitor’s IP address or browser/device signals. This may be used for analytics, measuring campaign performance, and, where consent has been given, supporting advertising or audience features

Recruitment

If you apply to work with us, we may collect your name, address, telephone number, email address, employment history, qualifications and other information included in your application.

We use this information to assess your application, communicate with you and take steps before entering into an employment contract. Our lawful bases are STEPS TAKEN AT YOUR REQUEST BEFORE ENTERING INTO A CONTRACT, LEGITIMATE INTERESTS in recruiting suitable staff and, where applicable, LEGAL OBLIGATION.

Enquiries, complaints and legal claims

We may collect your name, contact details, address, account information, purchase or service history and correspondence.

We use this information to answer enquiries, investigate complaints, resolve disputes and establish, exercise or defend legal claims. Depending on the circumstances, our lawful bases are CONTRACTLEGAL OBLIGATION and our LEGITIMATE INTERESTS in providing customer support, resolving disputes and protecting our legal rights.

Using our website

When you visit our website, we may collect technical and usage information, including your IP address, browser and device information, pages visited and cookie identifiers.

We use this information to operate and secure the website, remember your choices and, where you consent, understand how visitors use the website. Further information is provided in the Cookies and similar technologies section below.

Where we get personal information

We collect personal information:

  • directly from you when you place an order, request samples, create an account, subscribe to marketing, contact us, give feedback or apply for a role;
  • automatically when you use our website, through cookies and similar technologies; and
  • from payment, delivery and other service providers where necessary to complete a transaction or provide a service.

How long we keep personal information

We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including meeting legal, accounting and reporting requirements.

In general:

  • customer and trade account information is kept while the account remains active;
  • we may close an account that has been inactive for 24 months, although transaction records may be retained for longer where required for legal, tax, accounting, warranty or dispute purposes;
  • order and transaction records are kept for 10 years;
  • marketing information is kept until you unsubscribe or withdraw consent, after which we may retain limited suppression-list information to ensure we respect your preference;
  • recruitment information for unsuccessful applicants is kept for 1 year; and
  • enquiries and complaints are kept for 7 years, or longer where necessary in connection with a dispute or legal claim.

Who we share personal information with

We may share personal information with trusted service providers where necessary, including:

  • DHL and UPS, for delivery and shipment tracking;
  • Worldpay, for processing online and telephone payments;
  • website hosting, IT support and security providers;
  • email and marketing service providers;
  • analytics providers, where you have consented to analytics cookies; and
  • professional advisers, regulators, law-enforcement bodies or courts where required or permitted by law.

These organisations receive only the information needed to perform their services and must handle it appropriately. Some providers may act as independent controllers for parts of their services and will process information under their own privacy notices.

We do not sell your personal information or share it with other businesses for their own promotional purposes.

Transfers outside the UK

Some of our service providers may process personal information outside the United Kingdom. For example, international delivery providers may need to send recipient and shipment information to the destination country, and technology providers may operate systems in other countries.

Where a restricted transfer is made, we use a lawful transfer mechanism. This may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses or another safeguard permitted by UK data protection law. Where required, we also assess whether the information will receive an appropriate level of protection.

Your data protection rights

Depending on the circumstances and the lawful basis used, you may have the following rights:

  • Access: to ask for a copy of your personal information and information about how it is used.
  • Rectification: to ask us to correct inaccurate information or complete information that is incomplete.
  • Erasure: to ask us to delete your personal information in certain circumstances.
  • Restriction: to ask us to restrict the use of your personal information in certain circumstances.
  • Objection: to object to processing based on legitimate interests and to object at any time to direct marketing.
  • Data portability: to ask us to transfer information you provided to us to you or another organisation in certain circumstances.
  • Withdrawal of consent: to withdraw your consent at any time where we rely on consent. Withdrawal does not affect processing carried out before consent was withdrawn.

These rights are not absolute and exemptions may apply. We normally respond to valid requests without undue delay and within one month. To exercise a right, contact us using the details at the beginning of this policy.
